SiteCOISiteCOI

Compliance register for GCs & property managers

When a vendor's insurance lapses, it's your liability

The subcontractor's certificate expired in March. The roof leaked in June. The carrier denies the claim, and the exposure lands on your policy and your contract. SiteCOI tracks the expiration date on every certificate of insurance, trade license and safety certification you rely on, and tells you before it lapses — not after a claim or an audit finds it.

The register as your team sees it: Delgado Mechanical's COI expired 18 days ago, Marcus Hale's OSHA 30 lapses in 9.

A compliance gap is invisible until it costs you

Nothing breaks when a certificate expires. The sub still shows up. The work still gets done. The invoice still gets paid. The gap only surfaces at the worst possible moment — when a claim is filed, when your carrier audits your subs, when an owner asks for current certificates before releasing a draw.

By then the fix isn't a phone call. It's an uninsured loss, a failed audit, or a crew sitting idle while someone chases a renewal that should have arrived weeks earlier.

  • The COI folder goes stale

Certificates get emailed once at onboarding, filed, and never opened again until someone needs one.

  • Nobody owns the calendar

Renewal dates live in one person's spreadsheet, or in their head, and that person is on a jobsite.

  • Carriers cancel mid-term

A policy can lapse for nonpayment months before its printed expiration date, and nobody tells you.

  • Certifications expire quietly

An OSHA card or CDL medical card runs out and the employee keeps working on your site.

What SiteCOI tracks

Two kinds of contacts, each with the documents that actually carry an expiration date.

Employee

People on your payroll

  • Trade licenses

Electrical, plumbing, HVAC, mechanical — state and municipal

  • OSHA & safety certifications

OSHA 10/30, scaffold competent person, fall protection, confined space

  • Commercial driver's licenses

CDL class and endorsements, DOT medical cards

  • Equipment operator cards

    Crane, forklift, aerial lift certifications

Vendor / subcontractor

Companies you hire

  • Certificates of insurance

General liability, auto, umbrella — with policy numbers and carriers

  • Workers' comp certificates

Coverage proof per sub, per policy period

  • Business licenses

State registration, contractor license, local permits

  • Bonding

Surety, license and performance bonds with expiration dates

How it works

Step 1

Upload the document

Drop in the PDF or a phone photo of the COI, license or certification card and file it against the employee or vendor it belongs to.

Step 2

Details are extracted

Carrier or issuing authority, policy or license number, and issue and expiration dates are pulled off the document. You confirm them before the record is saved.

Step 3

Reminders go out automatically

Every record is watched. Notices go to you — and to the vendor or employee — at 90, 60, 30 and 7 days before expiration, then daily once it lapses.

See what manual tracking is costing you

Adjust the numbers to match your current process. The estimate shows the time your team spends chasing and re-checking documents every month.

Fewer things than a document system — done without anyone remembering

SiteCOI is not a contract management platform. It tracks expiration dates on compliance documents and chases them. That's the whole product.

Who this is for

Built for

  • General contractors carrying a bench of subcontractors and holding their COIs as a condition of payment
  • Property managers responsible for vendor insurance across a portfolio of buildings
  • Safety and HR managers tracking OSHA cards, trade licenses and CDLs for a crew
  • Anyone answerable when an owner, carrier or auditor asks for current certificates

Not built for

  • Solo contractors tracking their own license and insurance — a calendar reminder does that for free
  • Teams that need contract redlining, e-signature or clause search
  • Companies looking for a general document management system

SiteCOI earns its price when you're accountable for other people's paperwork. If it's only your own, you don't need it.
